The Team Members screen is the list of everyone who can sign in to your organization. Each row shows the person's name and email, the role they hold, and whether their access is active. Everything on this page is scoped to your own workspace — you never see, or can act on, a user from another organization.
Adding a teammate #
Press Create User and fill the form. The account is created immediately, with the password you type, and the new member can sign in straight away — sub-users skip email verification. They are also sent a welcome email that names the person who added them.
| Field | What it does |
|---|---|
| Full Name required | Shown on their avatar and against every message they send. |
| Email required | Their sign-in identity. It must not already be in use by another account anywhere on the platform. |
| Password required | At least six characters, and must match the confirmation field. Tell them to change it from their own profile after the first sign-in. |
| Role required | Only roles below your own rank appear in the list. See the hierarchy below. |
The alternative route is an invitation link, which lets someone create their own account and password inside your workspace. An invitation expires after 14 days, and the recipient must open the link while signed out — opening it while signed in to another workspace does nothing. That flow is covered under creating your account.
The role hierarchy #
Roles are ranked: Viewer sits below Agent, Agent below Admin, Admin below Owner. Two rules follow from that ranking, and both are enforced on the server rather than only in the form:
| Field | What it does |
|---|---|
| You can only assign below yourself | The role picker lists roles strictly below your own rank. An Admin can create Agents and Viewers but not another Admin; only an Owner can create Admins. Posting a role you are not entitled to assign is rejected. |
| You can only act on people you outrank | Deactivate and Delete appear only for members below your rank. You cannot deactivate or delete yourself, and you cannot touch someone at your own level. |
Agents and Viewers cannot open this screen at all — team management starts at Admin. Custom roles sit at the operational tier, below Admin, so an Admin can assign them; what a custom role can actually do comes entirely from the permissions ticked on it, described in Roles & permissions.
Editing an existing member lets you change their name and their role. Their email address is fixed once the account exists — they change it themselves from Profile & account.
Deactivating versus deleting #
These are two different actions and only one of them is reversible.
Deactivate flips the account to inactive. The next sign-in attempt is refused with "This account has been deactivated", and every mobile app token the person holds is revoked at the same moment — otherwise a phone would keep working for weeks on a token already in its keychain. Nothing else changes: their messages, the conversations assigned to them and the contacts they own all stay exactly as they were, still attributed to them. Press Activate and they are back with the same role and the same history. This is what you want for someone on leave, someone who has left, or an account you suspect is compromised.
A deleted account does free its seat; a deactivated one does not.
